About the opportunity
The Tasmanian Institute of Agriculture (TIA) delivers premier research, development, extension and education programs with strong links to industry through its Joint Venture with the Tasmanian Government. TIA contributes to policy development, education, and the wider community. TIA works collaboratively to help develop prosperous, innovative and sustainable rural industries and communities through impact-focused education, research, development and extension initiatives. TIA administers and delivers undergraduate and postgraduate teaching programs.
This role provides executive assistance and support for the Director of TIA and TIA Executive Team, as well as assisting with the operational requirements of the Institute. The role provides proactive support to achieving the goals and objectives of the TIA Professional Services Team. The successful incumbent will engage with a wide range of stakeholders, therefore they will need be a strong team player, possessing excellent oral, written, and interpersonal communications skills. They will have a proven track record in high level administration with excellent organisational skills and the ability to multitask.
What you’ll do:
Provide high-level executive support to the Director, TIA Leadership Team (TLT), and Professional Services Team, ensuring high quality services, support, advice, and confidentiality.
Co-ordinate activities on behalf of the Director, including diary management, correspondence, visitor management, meetings (agendas, minutes, briefing notes, presentations), travel, events, purchasing, and expenses, ensuring accuracy and timely advice.
Provide a wide range of professional services support to the Professional Services Team, including interaction with People and Wellbeing, local site activities, and contribution to team projects and goals.
Provide professional services support to TLT members, including organisation of TLT activities, internal/external calls for information, monthly reports for NRET, and TLT/Advisory Board meetings (invites, agendas, actions, room bookings, travel, catering).
Co-ordinate visiting delegations and meetings with TIA Leadership, invitation lists for university events, and advise on protocol and approvals for university, ministerial, and dignitary engagements.
What we’re looking for:
High level organisational skills, including ability to prioritise tasks, meet multiple deadlines, manage diverse support tasks, and exercise diplomacy and confidentiality.
Well-developed verbal and written communication skills, with proven capacity and confidence to build relationships, communicate, and negotiate with stakeholders at all levels, demonstrating flexibility and composure in a pressured environment.
Excellent organisational and time management skills, with experience working to deadlines, a proactive work ethic, flexibility, and sound judgement in adapting to changing priorities.
Demonstrated ability to work autonomously and collaboratively in a team culture, contributing to planning and shared tasks with confidence and sensitivity.
Relevant experience in, and commitment to, providing high level customer service in a high-volume environment.
Salary details
Appointment to this role will be at HEO 5 and will have a total remuneration package of up to $105,665 comprising base salary within the range of $80,869 to $90,312 plus 17% superannuation.
