 About the opportunity

The Senior Administration Officer provides high-level administrative and analytical support across a range of School activities, contributing to operational planning, priority projects and the effective delivery of key administrative functions.

A key focus of the role is the effective administration of academic workload allocation. Working under the broad direction of the Business Manager and closely with senior academic staff, you will analyse workload requirements, provide informed advice and generate and maintain accurate workload allocation records. You will draw on your understanding of staff expertise, relevant systems, policies and guidelines, and the school’s budget context to support effective planning and decision-making.

You will bring strong analytical skills, sound judgement and a collaborative approach, building effective relationships across the school to deliver high-quality operational outcomes. Your contribution will support both effective academic workload planning and the responsible management of the school’s budget.

What you’ll do:

  • Provide high-level administrative support and advice to the School Workload Allocation Committee.
  • Analyse academic workloads using relevant agreements, workload models, timetables and student load data to identify teaching gaps and workload imbalances and provide advice on staffing requirements across undergraduate and postgraduate programs.
  • Support effective School operations across recruitment, work health and safety, space management, risk and procurement.
  • Coordinate and collaborate with administrative staff to deliver effective operational support, including casual workload allocation, timesheet approvals, procurement, space management and contractor liaison.
  • Analyse and report on key performance indicators, workload allocation and expenditure against budget.
  • Work collaboratively with Health Operations and Support and School professional staff to improve systems, policies and procedures, contribute to projects and deliver School operational requirements.

What we’re looking for:

  • Completion of a degree/diploma in a relevant field with subsequent relevant work experience or an equivalent combination of relevant experience and/or education/training.
  • Well-developed analytical, verbal and written communication skills and the capacity to interpret and apply policy and institutional knowledge, prepare reports, keep accurate records and maintain confidentiality.
  • Highly developed administration and organisational skills, with a demonstrated ability to work flexibly and to exercise initiative and judgement on work methods and task sequence in order to meet deadlines in a high-volume work environment.
  • Proven capacity and confidence to build and maintain relationships, work effectively as part of a team and effectively communicate and negotiate with a diverse range of stakeholders at all levels
  • Demonstrated, high level computer skills including excellent spreadsheet, information management, email and word processing skills, ability to retrieve and analyse information from corporate data systems and experience in the use of Office 365 applications, including Teams and OneDrive.
