About the opportunity

The Executive Officer plays a key role within the Office of the Chancellor and Vice-Chancellor (OCVC) directly supporting the Vice-Chancellor. The Division of the Vice-Chancellor provides strategic leadership and coordination across the University, serving as the primary interface with the University Council, Academic Senate, and Senior Executive, and managing key relationships with political, business, and community stakeholders.

The Executive Officer works closely with the Executive Director, Division of the Vice-Chancellor and the Operations Manager to coordinate, monitor, triage, draft and quality assure correspondence and documents for the Vice-Chancellor, including emails, institutional correspondence, briefing papers. The post holder delivers a daily summary (the ‘Red Box’), including items to review, action and for information, to the Vice-Chancellor.

What you’ll do:

  • Coordinate, monitor, triage, and draft correspondence and documents for the Vice-Chancellor, including emails and institutional correspondence including undertaking relevant research.
  • Deliver a daily summary (the ‘Red Box’), including items to review, action and for information, to the Vice-Chancellor.
  • Provide executive support to Division of the Vice-Chancellor Senior Executive diaries including the scheduling of commitments, with a focus on both the short term and the longer-term strategic view, travel arrangements, and sourcing relevant briefing information.
  • Manage and deliver Division owned events including Vice-Chancellor Awards, Whole of Division and team forums, and other events as directed by the Operations Manager.
  • Manage the Strategic Communications budget.

What we’re looking for:

  •  A relevant degree and subsequent relevant experience or an equivalent combination of extensive relevant experience and/or education and training.
  • Contribute to and manage complex situations and multiple responsibilities simultaneously, mixing long-term projects with the urgency of day-to-day demands.
  • Ability to work in an agile and flexible way, in a high paced, busy office environment, while maintaining high standards and attention to detail.
  • Excellent organisational and prioritisation skills and a demonstrated capacity to act independently within established guidelines and processes, using discretion and sound judgement.
  • A current Australian ‘C’ class driver’s licence.

Salary details

Appointment to this role will be at HEO 7 and will have a total remuneration package of up to $130,943 comprising base salary within the range of $101,821 to $111,917 plus 17% superannuation.
