About the opportunity

The Administration Officer – Program Delivery & Assessment is an integral part of the School of Medicine Administration Team and will work under the general direction of the Team Leader, at the Rural Clinical School (RCS) in the Tasmanian School of Medicine. The key purpose of the position is to provide seamless administrative support to a range of stakeholders with a focus on efficient, lean and responsive advice and guidance to support the operations of the School’s Learning and Teaching programs and events.

What you’ll do:

  • Complete a broad range of administrative duties to assist in the delivery of all programs within the Tasmanian School of Medicine.  This may include clinical rotations, timetabling, student data base management, supporting assessment, professional experience placements and participating in community engagement activities.  
  • Participate as part of a high performing team to deliver exceptional service to students, academics, visiting clinicians and patient partners.  
  • Use and access systems within the University, in accordance with the UTAS and UTAS Health guidelines. Consult with and provide accurate advice to academic staff and students on course-related information, university policies and procedures either face to face or through written correspondence.  
  • Participate in relevant meetings, committees and working parties as directed by the Team Leader.  
  • Apply a Lean methodology to your work, identifying and implementing continuous improvement.  
  • Undertake other duties as assigned by the Team Leader.  
  • Have a basic understanding of Medical Terminology.  
  • Be responsible for the maintaining, preparation and stock ordering of Medical Equipment and skills-based learning.­

What we’re looking for: 

  • Demonstrated administrative skills including good organisation and prioritisation skills, together with the ability to perform tasks with accuracy and attention to detail and with minimum supervision.  
  • Demonstrated interpersonal and negotiation skills with the ability to interact and communicate effectively and professionally with members of the public, professional bodies, and stakeholders at all levels to develop and maintain effective relationships and partnerships, and to work as an effective member of a team.  
  • High level organisation skills, with the ability to meet deadlines, attention to detail, work under pressure, and prioritise tasks in a complex organisation.  
  • Strong skills in a range of software applications, including Microsoft Suite, particularly Excel and Outlook, presentation software and the internet as a resource.  
  • Excellent customer service with experience in focusing on and understanding client needs
  • Well-developed oral and written communication skills including the ability to draft correspondence and prepare minutes and reports.   
  • Ability to be flexible and adaptable to cope with changing work methods and working environment.  

Salary details

Appointment to this role will be at HEO 4 and will have a total remuneration package of up to $91,488 comprising base salary within the range of $73,814 to $78,195 plus 17% superannuation.
