The Advancement Office manages relationships and builds support through our inspirational network of alumni and friends, as well as our local, national and international communities, for the advancement and benefit of the University in its mission to address some of Tasmania’s and the world’s greatest challenges.

The Gifts and Data Officer is responsible for University gift processing and administration, as well as providing support for event registrations, and data queries, with a scope to improve procedures and processes for better service outcomes. As the first point of contact for donor enquiries, this role is responsible for responding to queries with care and professionalism. The role has a particular responsibility for accurately processing and maintaining the records, processes and systems for funds received by the donor community and ensure they receive timely and appropriate acknowledgement. The incumbent will also ensure the database is updated accurately and perform interrogations to assist with donor pipeline research and regular advancement programs. In addition, working collaboratively with other members of the Advancement team, the incumbent will be required to assist with data management, reporting and analytics as required by the Manager, Advancement Services.

What you’ll do:

  • Process and manage financial transactions for the Advancement Office including establishing recurring gift payments; recording and banking of all funds; preparing and processing funding transfers; raising; sending and monitoring receipt of gift pledges; creating receipts for tax-deductibility for each gift as well as end of financial year receipting for recurring donors
  • Oversee functions of the Advancement office CRM (Raiser’s Edge) in relations to data and gift entry, highlighting and advising on any issues of data irregularity or incomplete data capture
  • Create and maintain donor records and act as a first-point contact for the Advancement Office, ensuring best practice standards are established and maintained.
  • Develop and maintain standard and customised queries, exports and reports of donor, alumni and stakeholder records and support colleagues with import functions when necessary
  • Create tailored electronic direct mail (EDMs) to communicate with friends, donors, and the wider University community.

What we’re looking for:

  • A degree in a relevant discipline or a demonstrated equivalent combination of experience, education and training.
  • Demonstrable oral, written, and interpersonal skills and the ability to communicate and work effectively with a range of people (including volunteers) and organisations.
  • An individual who acts with timeliness, initiative, integrity and professionalism and has a demonstrated ability to contribute positively and work harmoniously in a team environment.
  • Exceptional levels of customer care and attention to detail; experience in prioritising differing work requirements combined with strong organisational skills who can independently handle multiple tasks and functions under pressure.
  • Demonstrated information technology skills, with competence using a range of computer software packages, including CRM (i.e.,Raiser’s Edge), Finance systems, Excel, PowerPoint.

Salary details

Appointment to this role will be at HEO 5 and will have a total remuneration package of up to $102,190 comprising base salary within the range of $80,869 to $90,312 plus 17% superannuation.
