About the opportunity
The Contracted Services Administrator (Grounds and Maintenance) is a member of the Facilities Management team within Campus Services. The Facilities Management team has portfolio responsibility for core campus services and operations delivered via contracts with external providers, including grounds management and maintenance, and cleaning, waste and pest control.
The Contracted Services Administrator (Grounds and Maintenance) is responsible for overseeing the contractual aspects of maintaining and enhancing the university's outdoor spaces. This role includes managing vendor relationships, negotiating contracts, and ensuring compliance with service agreements. The Contracted Services Administrator (Grounds and Maintenance) will coordinate with various departments to support campus events and activities, develop maintenance schedules, and implement sustainable practices to maintain the aesthetic and functional quality of the university's environment.
By effectively managing contracts and ensuring high-quality maintenance of the campus grounds, the Contracted Services Administrator (Grounds and Maintenance) plays a crucial role in creating a welcoming and inspiring environment for students, faculty, staff, and visitors. This position supports the university's mission by enhancing the overall campus experience, promoting sustainability, and contributing to the well-being and success of the university community.
What you’ll do:
Actively manage contractors and service delivery to ensure an appropriate standard of service in line with contractual terms. Independently monitor contractor performance against contractual requirements and key performance indicators and develop and implement strategies to address non-compliance.
Ensure a high level of customer service and engagement through providing timely response to customer service requests and service delivery, effective client consultation and prioritising of jobs, and management of contractors regarding completion of works.
Actively manage the client/contractor relationship through case managing all grounds-related complaints, suggestions or problems and ensure prompt resolution of issues through actively liaising with University clients,
Identify strategies to improve services and service delivery and design and manage associated projects and works.
Manage the program budget (monitoring expenditure, budgetary reporting, identifying spending priorities and budget forecasting) and ensure that expenditure supports sustained and sustainable quality outcomes for the client and the University.
What we’re looking for:
Demonstrated understanding of contractual management issues, with ability to undertake performance assessments against contractual terms and identify, resolve and escalate issues as appropriate.
Demonstrated high level organisation skills, with the ability to manage multiple priories simultaneously to ensure successful and timely outcomes and work effectively both individually and as a member of a team.
Sound understanding of work health and safety issues as they relate to maintenance and grounds related service provision.
Demonstrated high level interpersonal, written and verbal communication skills, including the ability to draft a range of reports and deal effectively with a wide range of people.
Demonstrated experience and skills in budget management, including reporting on expenditure and budget forecasting, and the ability to priorities spending to ensure quality outcomes.
Demonstrates ability in the use of computerised administrative systems, including word processing, spreadsheeting, email, internet and database applications.
Salary details
Appointment to this role will be at HEO 6 and will have a total remuneration package of up to $113,029 comprising base salary within the range of $89,091 to $96,606 plus 17% superannuation.
